2025 VETS AGM

As mentioned after the game on Wednesday, the Vet’s AGM will be held after golf on Wednesday, 5th November. All positions on the Committee will become vacant.

What we know is that President Bruce Otto and Secretary/Treasurer Rod Booth will be retiring from their roles. Captain Grant Smallacombe and Vice-Captain Jim Henderson will vacate their positions, but have indicated they will nominate for a general Committee position to assist in guiding newcomers through the process. This creates a wonderful opportunity to become involved and give something back to the club and sport in general.

roles and responsibilities of the various Committee positions.

MEMBERSHIP

Welcome to a new Vet’s member, Greg Loveday.

WEDNESDAY

The International All Stars versus the Aussies Stableford attracted a field of 87 players. The event was sponsored by The Shankers (Kevin Crundall and Grant Smallacombe), with the honours going to the Internationals by the barest of margins.

This game has been running for 11 years, and the Internationals have been the
standouts, winning 5 times. There was a suggestion that next year we should adopt a stricter approach and require passports and birth certificates.

Stars for the Internationals were Richard Gibson, 45 points and Hans Herrle, 41.

HOST DAY PROGRAM

Our next Host Days are:
Monday, 13th October: We host Headland. Online bookings are now open.
Monday, 27th October: We host Maroochy River and Peregian Springs. Online bookings will open on Monday, 29th September.
Wednesday, 12th November: We travel to Noosa.

Leaders in the "Jim Penman Host Day Trophy" are Tony Watson (293), Dave Lyons (282), and Tina Thomas (282) with the most points.

VETS COMMITTEE ROLES AND RESPONSIBILITIES

Members serving in these roles need to have basic computer skills and access to email and productivity software such as Microsoft Word and Excel.

PRESIDENT
Responsibilities include, but are not limited to:
  1. Provide the principal leadership of the Club and the committee.
  2. Manage the annual general meeting.
  3. Manage committee and executive meetings.
  4. Represent the Club at the Sunshine Coast District Veteran Golfers Association level.
  5. Act as a facilitator for the Club's activities and ensure these activities align with the interests of all Vet members.
  6. Ensure the Club operates in accordance with its governing rules and constitution and the MOU with Cooroy Golf Club.
  7. An authorised signatory for cheque and electronic payments.
  8. Act as the primary communication link with the executive management of Cooroy Golf Club.

CAPTAIN

Responsibilities include, but are not limited to:
  1. Responsible for the oversight and management of all aspects of golf competitions and events of the Club, including liaison with the Course Superintendent on course set up for competitions and suspension, discontinuation or cancellation of play due to weather or course conditions.
  2. Organise and manage the Club's annual program of events and competition in liaison with the Host Day Captain and Vice-Captain.
  3. Interpret and apply the rules of golf, conditions of competition and local rules.
  4. Act as the point of contact between the Club and the Cooroy Golf Club Manager for day-to-day activities.
  5. Delegate to Sunshine Coast District Veteran Golfers Association.
  6. An authorised signatory for cheque and electronic payments. 

VICE CAPTAIN

Responsibilities include, but are not limited to:
  1. Assist the Captain and Host Day Captain in managing golf activities, including suspension, discontinuation, or cancellation of play due to weather or course conditions.
  2. In the absence of the Captain, assume responsibility for overseeing and managing all golf-related activities of the Club.
  3. Interpret and apply the rules of golf, conditions of competition and local rules.
  4. Delegate to Sunshine Coast District Veteran Golfers Association.
  5. Ensure timely recording of competition results in GolfLink.
  6. Act as the Club handicap manager for existing handicaps.
  7. An authorised signatory for cheque and electronic payments.
  8. Work with the Captain and Host Day Captain in organising and managing the Club's annual program of events and competitions.
  9. Oversight and management of catering requirements for the Club.

HOST DAY CAPTAIN

Responsibilities include, but are not limited to:
  1. Organise and manage home and away host day competitions, participation in District events and invitation day competitions, including suspension, discontinuation or cancellation of play due to weather or course conditions.
  2. Act as the primary contact and liaison point for District, home and away host day and invitation day activities.
  3. Interpret and apply the rules of golf, conditions of competition and local rules for home host day and invitation day events.
  4. Delegate to Sunshine Coast District Veteran Golfers Association.
  5. Work with the Captain and Vice-Captain in organising and managing the Club's annual program of events and competition.

SECRETARY

Responsibilities include, but are not limited to:
  1. Call meetings of the Club, including preparing notices of a meeting and of the business to be conducted at the meeting in consultation with the president and captain.
  2. Keep minutes of general and committee meetings.
  3. Conduct all general correspondence.
  4. Maintain a register of incoming and outgoing correspondence.
  5. Maintain a register of the membership of the Club.
  6. Maintain safe custody of books, documents, instruments of governance and legal documents of the Club.
  7. Coordinate interaction with other Veteran clubs and governing bodies.
  8. Manage and coordinate communication with members and key stakeholders.

TREASURER

Responsibilities include, but are not limited to:
  1. Maintain accurate records of income and expenditure.
  2. Ensure cash/payments collected on event day are reconciled and banked as soon as practical.
  3. Organise payment, including the second authorisation, for goods and services purchased.
  4. Ensure all payments are approved or ratified by the management committee.
  5. Provide financial reporting to the management committee as required.
  6. Manage and monitor membership financial status.
  7. Prepare and present a financial report to the Annual General Meeting.
  8. Maintain safe custody of all documentation for payments made, including receipts, invoices and statements.
  9. An authorised signatory for cheque and electronic payments.

COMMITTEE MEMBER

Responsibilities include, but are not limited to:
  1. Provide the overall guidance, direction, and supervision of the Club in accordance with its governing rules and the MOU with Cooroy Golf Club.
  2. Approve significant policy and procedure changes.
  3. Act in good faith and in the best interests of the Club.
  4. Avoid conflicts of interest.
  5. Actively engage in and assist with the formalities of running competitions and events.
  6. Provide oversight of the financial affairs of the Club.
  7. Provide oversight of member and external sponsorship.
  8. Promote a sense of fellowship and camaraderie amongst all Members.

STARTER

Works closely with the Captain, Vice-Captain, and Host Day Captain.
Responsibilities include, but are not limited to:
  1. Manage an orderly start to the competition for each playing group according to assigned tee times. The Starter has the authority to move players between groups.
  2. Electronically register players when required by the type of competition.
  3. Collect, record and reconcile competition and any other fees applicable.
  4. Initiate a lucky draw at the close of player registration when required.
